Cut front-desk calls by 35% and no-shows by 22%.
Industry: Health & Medical · Location: Victoria · Timeline: 10 weeks · Outcome: 35% reduction in front-desk call volume, 22% fewer no-shows.
Six independent medical practices were sharing a back-office team to manage bookings. Patients phoned between 8:30am and 12:30pm every morning, and the front-desk staff spent their entire morning on the phone. The existing clinical software had a built-in booking module, but it was clunky, patients could not use it themselves, and staff were still double-booking because the calendar did not update in real time between practices. No-shows ran at about 18%, costing the practices thousands of dollars a month in unused appointment slots.
We did not replace their clinical software, which would have required medical-device regulatory approval. Instead we built a patient-facing booking portal that integrates with the existing clinical system via its API. Patients book online, see real-time availability across all six practices, and receive an automatic SMS reminder 24 hours before the appointment.
All patient data stays within the AWS Sydney region. Access is role-based: reception staff see their practice only, managers see aggregated reporting. Every login and booking change is written to an immutable audit log, which the practice manager can hand directly to an auditor.
Within two months, front-desk call volume dropped by 35% between 9am and 12pm. No-shows fell from 18% to around 14% thanks to SMS reminders. The practice manager now has a single dashboard showing which practitioners are fully booked, which are under-utilised, and where the gaps are — information they previously had to compile by hand once a month.
The most sensitive part of this project was patient data. We insisted from day one that all clinical data stay in the AWS Sydney region, with encryption at rest and in transit. We did not copy patient records into our own database — the booking portal reads availability directly from the clinical system via its API, and writes back only the booking confirmation. That means we are a booking layer, not a clinical data holder, which significantly simplifies our compliance obligations.
SMS reminders were another small challenge. We integrated with an Australian SMS provider that logs every message and supports opt-out. Patients can reply "STOP" and the system updates their preference immediately. The clinic group now runs about 400 automated reminders a month, and the opt-out rate is under 2%.

Yes. We integrate with the clinical software you already use rather than asking you to change it. The booking portal reads and writes through your existing system, so there is no duplicate patient database.
In this project, automated SMS reminders reduced no-shows by 22%. The exact figure depends on your patient mix, but integrated reminders consistently make a meaningful dent.
